How does shift and absence planning work on the Talent Platform?
In this article, we'll show you how to book shifts and record absences on the Talent Platform.
Once you have been assigned to a project, you can schedule your own working hours within the service hours of the respective client. In most projects, this can be done directly through the Yoummday Platform
We are currently rolling out a new version of shift planning across projects. While the functionality remains largely the same, the design is changing. This article refers to the old view of the scheduling tool.

Where can I find shift planning?
What do the colors and numbers in the schedule mean?
Wo finde ich die Schichtplanung?
You can access the shift planner by clicking "Shift Planning" in the menu on the upper left side of the platform.

In some cases, clients use their own scheduling platforms or alternative methods for assigning shifts. In any case, everything you need to know will be explained during your project onboarding training.
To view a schedule:
- Select the client for whom you want to plan shifts.

Use the drop-down menu to choose the specific project.

The weekly schedule for the current week will then be displayed.
What Do the Colors and Numbers in the Schedule Mean?
The general service hours are shown with a green background and shift blocks. 
Clients can specify in 30-minute intervals how many talents they need during their service hours. This helps ensure that neither too few nor too many people are working at the same time based on historical data and workload forecasts.
Identifying Open Shifts
You can recognize available shifts by comparing the numbers shown in a shift block:
- Left number: Available slots
- Right number: Already booked slots
If the number on the left indicates that positions are still available, the shift can be booked.
The color changes from:
- Green = Available
- Orange = Fully booked
Blocked Time Slots
If an otherwise available time period has been blocked (for example, due to a public holiday), it will be shown with a crossed-out circle on a green background.

How Do I Book a Shift?
Shift planning is only available once:
You have been assigned to a project, and
Your Security Status is marked as "Compliant."

Step-by-Step Instructions
- Open https://talent.yoummday.com
- Click "Shift Planning" in the left navigation menu.
- Select the client for whom you want to schedule a shift.
- Open the drop-down menu.
- Choose the specific project.
- Look for available shifts using the green background and the numbers displayed in the shift blocks.

Book your shift using drag and drop:
- Click on the desired start time.
- Hold down the mouse button.
- Drag the blue selection box to your desired end time.
- Release the mouse button.
You may receive an error message if:
- The shift is already full.
- The project requires a specific minimum booking duration.
- You previously canceled the same shift within 24 hours of its start time.

Once booked, your working hours will appear as a dark blue block in the schedule.

You may book multiple shifts using the scheduling tool.
Please follow your project's specific requirements. Most projects have:
- A minimum number of hours per week.
- Sometimes a maximum number of hours per week.
- Preferred time slots that should be booked when available.
How Do I Cancel a Shift?
The first five steps are identical to those used when booking a shift:- Open https://talent.yoummday.com
- Click "Shift Planning."
- Select the appropriate client.
- Open the drop-down menu.
- Select the relevant project.

- Locate the shift you want to cancel (displayed as a blue block).
- Click on the booked shift block.
To Adjust the Shift
- Use the sliders on the left and right sides of the pop-up window to modify the start or end time.
- Click "Save & Close."

To Cancel the Entire Shift
- Click "Cancel Shift."
- Confirm the change or make any necessary adjustments.
- Click "Cancel Shift"


Important: If you cancel a shift less than 24 hours before it begins, you will not be able to rebook that shift later.
How Do I Enter an Absence?
If you will be unavailable for an extended period due to vacation or personal commitments, you can record the absence in the scheduling tool.
This helps project managers understand why you may not be able to meet your minimum required hours during that period.
Please also inform your project contact directly when planning a longer absence.
Step-by-Step Instructions

Click "Enter Absence."

In the pop-up window, select:
- The first day of your absence
- The last day of your absence

How Do I Cancel an Absence?
While an absence is active, you cannot book shifts.
If you become available earlier than expected, you can modify or remove the absence.
Steps
- Open https://talent.yoummday.com
- Click "Shift Planning."
- Select the relevant client.
- Choose the appropriate project.
- Click on a day covered by the recorded absence.

To Modify the Absence
- Click the start or end date.
- Select a new date.
- Click "Save."

To Remove the Entire Absence
- Click "Delete Absence."
Your absence will be removed, and you will be able to book shifts again.
