Creating member accesses and managing their rights is a simple and effective way to control account access and protect sensitive data
1. Basic information
What happened:
Starting from the release date, the "Members" menu item will redirect to the new Role Management system. Users with the required roles (Admin/Manager) will gain access after logging in again. Instead of managing individual permissions, users can now be assigned one or more roles based on their job profiles. It is also now possible to remove Users from the company.

Why:
This feature will increase ops efficiency and is critical for ISO-Certification.
Who:
Pre-Assigned Admins: Need to take action: Assign yourself as admin and give further users roles after the release. For more Infos see 2.1. → If you are on that list of Pre Assigned Admins you have been informed.
Everbody else: Generally no need to take action: Keep on working as usual, But if you are manager and should support the Admin with the Rolemanagement in your project - Check the Details in 2.2.
What not:
Roles have been predefined with relevant contacts in the company and cannot be customized per company. If a role lacks the required permissions for a user, a higher role must be assigned.
Only Admins can add or remove other Admins.
Only Managers and Admins can manage roles.
Special Project Based Rights such as VPN Rights are not part of the Rights and Project, these Rights will not be touched and are still part of the Admin Tool (No Change)

2. Application
2.1 Initial Process Post-Release
For Pre-Assigned Admins
Step-by-Step Instructions:
- Open the "Members" menu.
- Find yourself in the user list.
- Assign yourself the Admin role.
- Close the error message (“You are not authorized for this page or action”).
- Log out.
- Log back in.
- You can now assign other roles.
2.2. Initial Process Post-Release
For Users Not Pre-Assigned as Admins
Step-by-Step Instructions:
- Keep on working as usual
- If you encounter an error message, please log in again (“You are not authorized for this page or action”).
- If assigned an Admin or Manager role, you can assign further roles and permissions. (If not you won’t be able to access or see this menu item)
- If you have another role, you cannot assign roles (or see the "Members" menu).
- If relevant menu items/functions are no longer visible, you may need an additional/higher role. Please contact your Admin (see the list above) or your direct point of contact/manager.
Roles | Description |
Administrator | This role is responsible for this account and can grant and revoke all access rights for this account, the Administrator and Manager roles, and all other roles. |
Manager | Managers can assign and revoke the roles Supervisor, Recruiter and Member. Managers can only revoke roles from themselves and other members if they have more than one role |
Supervisor | Supervisors cannot assign or revoke roles, but do have access to most control processes as part of their role. |
Recruiter | Recruiters cannot assign or revoke roles, but are empowered within the scope of their role to recruit talent for projects. |
Trainer | Trainer cannot assign or revoke roles but have full permissions to manage all training activities. |
Legal | The Legal role cannot assign or revoke roles but has all the necessary rights to carry out legal processes on the platform. |
Members | Members cannot assign or revoke roles and have mainly read permissions. The possibility to make changes in the projects is strongly limited. |

What happens if I don’t have access to Role Management after the release?
Ensure you are assigned the correct role by a pre-assigned Admin. If needed, log out and log in again.
Can roles be customized for my company?
No, roles are standardized across companies. If additional permissions are required, a higher role must be assigned.
Who can assign Admin roles?
Only Admins can add or remove other Admins. Managers and Admins can manage roles.
What should I do if I encounter an error message saying “You are not authorized for this page or action”?
Log out and log back in. If the issue persists, contact an Admin or submit a support ticket.
What if I need access to certain functions that I can no longer see?
You may need a higher or additional role. Please contact your Admin or relevant point of contact.
What happens if I do not map a user with a role?
If a user is not assigned a role, they will retain their existing permissions. However, they won't have access to any new features or permissions introduced with the Role Management system. For optimal functionality, ensure that all users are mapped to appropriate roles based on their job profiles.
